Other job duties:
- Managing email correspondence to Thinking Machines’ corporate contacts
- Team calendar management and schedule optimization
- Basic expense reporting
- Transcribing meeting notes
- Coordinating speaking invitations - researching details on speaking events and making necessary preparations
- Answering emails and phone calls on behalf of the CEO
- Organizing internal events, managing our internal learning program, and organizing tech community gatherings at our offices
- Managing our offices, coordinating with our landlord + vendors, and ensuring that the lights stay on
Qualifications:
- A minimum of 2 years experience working with managers and executives in an administrative role
- High comfort level with Microsoft Office and Google Docs. Expertise with Microsoft Excel is highly preferred
- Aggressively cheerful person who will follow up forever
- Can work independently and make decisions on behalf of the CEO when needed
- Effective written and spoken communication - You can articulate your points logically and convey critical ideas in a structured way.
- Impeccable organizational skills - Your team members are busy, busy, busy and will rely on you to keep track of deadlines, to-do lists and paperwork. Being able to manage multiple tasks and develop a bunch of ideas into a structured plan is key.
- Strong sense of initiative - You’re always looking for ways to be useful and you hate having nothing to do.
- Flexibility - We’re a small team so we’re looking for someone willing to roll up their sleeves and do whatever needs doing. We need someone who can learn and adapt quickly to new circumstances.
- Social intelligence - It’s extremely important that you work well with others and thrive in an environment with lots of teamwork and interpersonal interaction.
- Anticipatory - Sometimes, the team won’t know that they need you. You need to be aware about the projects people are working on and support when applicable.
